Staying organized as a busy business owner

Welcome to the 4th of our 5-part blog series about what you need in order to successfully run your business. One of the reasons business owners hire Your Remote COO is because they don’t have time to properly run their business. People we have worked with for years have told us they don’t have time for the various tasks they need to focus on.  The natural assumption to make from this is that they are too busy to keep up with everything.  But, the fact is in most cases, they aren’t as organized as they could be.  The point of this post is to hopefully, open your eyes to utilizing tools that will help you get and stay organized.  

Use your calendar. 

Staying organized starts with managing your work day. I am a firm believer in everything that needs to happen during the day MUST go on my calendar. If it doesn’t get on the calendar, it is not going to happen.  

At Your Remote COO we use Microsoft Office 365 for our mail and calendar.  Our calendars sync with our smart phones and we use calendly.com to allow clients and people outside our organization to schedule meetings with us. Set realistic expectations with your staff and clients. 

We all know that mistakes happen. So, if you over-promise and under-deliver, you are going to make yourself look bad. Learn to set real world expectations with your clients. By doing this, there will never be any backtracking or misunderstanding. Follow the adage, under promise and over deliver and your world will more organized and the client will appreciate the deliverable.   

Delegate. 

Your staff has skills, delegate tasks that they can handle. If you feel the task may be “above their expertise” challenge them to rise to the occasion.  You never know what people are capable of until you challenge them.  You may be very surprised how well they accomplish the task.  

If you are solo practitioner and don’t have staff to delegate to, see point 1.  Be strict about organizing your day and work by your calendar.   

The email ding will kill your productivity 

A good friend once told me that he only checks email 2 times during the work day; once in the morning and again in the afternoon. For the most part, I agree with this approach.  It’s too easy to get sidetracked by the email and text alerts on our computers and phones. If you set a policy to only check your emails at certain times during the day, you will increase productivity, accomplish more and stay organized.
